WRITERS
1. I do my best to give you as much direction for the article as I can, including lists of sources and items to include. If you have questions about the assignment at any point — before, during or after — please don’t hesitate to contact me. (512-472-4483) I realize that as you research a story, sometimes you’ll learn something that will affect the final outcome. Please let me know if this might happen.
2. If you think you may miss the deadline, it’s okay as long as you let me know ahead of time. The purpose of deadlines is to create a flow of content that keeps it coming in as fast as we can handle editing and designing it, so if you’re going to be late it’s very helpful to let us know so we can adjust out production schedule accordingly.
3. Please do your best to stick to the word count; double-check all name spellings, titles and facts; offer suggestions for headlines, captions and sidebars; and proof your work to the best of your ability. We will fact-check most stories before publication, but in the end you are responsible for getting the information correct.
4. Please do not allow your sources to review what you’ve written. If they want to change what they think they said to you, they can discuss it with you again, but they may not look at and take a pen to your copy. I’m the editor; that’s my job. (This is industry standard.)
5. All copy you submit for this assignment is property of GivingCity Austin and the Austin Community Foundation. (See ALL #3 below.)
PHOTOGRAPHERS/ILLUSTRATORS/VIDEOGRAPHERS
1. Please be sure to respect the schedule of your subjects. If you think you’re going to be late, please give Torquil a call or text (512-797-8869).
2. Please adhere as much as possible to the art direction communicated to you. While we understand that your subject may or may not be comfortable in front of the camera, it’s your job to deliver the best editorial photos you can, and that means sticking to the vision of the art director.
3. You may not sell or publish the photographs or versions of the photograph prior to publication in GivingCity (in magazine, online, print, other materials). The photographs we choose to publish become the sole property of GivingCity/ACF before they are published and for 90 days after they are published.
You may negotiate to sell or share the photos from the shoot GivingCity/ACF does not use, but they cannot be the same photos or versions of the photos we use until 90 days after they’re published. (For example, you might share different poses or settings of the subject. We do ask, however, that you consult with us on which photos you’ll share with whom.)
After 90 days, you may post the photos on your own website or marketing materials for the purpose of marketing your services. You may also negotiate to sell or share the photos that were chosen for GivingCity/ACF or any of the photo you took on the shoot. Photos are the sole property of the photographer.
ALL
1. We ask that you turn in your invoice along with your assignment, preferably as an attachment to an email. You must also submit an original W-9 to Austin Community Foundation before being paid. Please make sure we have that on file before you submit your invoice.
2. All payments are upon publication. That means we will mail your check within 30 days that the issue is published. (This is the industry standard.)
3. All copy and photos submitted to GivingCity/ACF are the property of GivingCity/ACF until they appear in the publication and for 90 days after publication. Please do not share or post them anywhere else — on your website, Facebook page, online or offline in any way — prior to publication. You may post them to your personal website for purposes of portfolios 90 days after publication.
4. Please keep in mind that in giving you this assignment, we are trusting you as a representative of GivingCity Austin. You were chosen for your talent, professionalism, insight and candor. Thank you for representing our publication!
5. All contributors will receive a byline and/or credit with their work.
6. By accepting the assignment and submitting your work, you also agree that this is your original work and accept all responsibility for its originality and truthfulness.
